The President's role is to chair committee meetings, liaise closely with the Music Director and delegate tasks to appropriate office bearers.
The President keeps members up to date, addressing rehearsals and writing newsletters.
The President has the task of overseeing new initiatives, often meeting with other relevant agencies, and maintaining the smooth running of the choir.
The role of the Vice President is to support the President, deputising at Committee meetings if necessary.
The Vice President also gives input into decisions which need quick action.
The current Vice President , Sandra, is also the Webmaster , with overall responsibility for the website.
The Secretary administers membership keeping it up to date, and makes sure that members are updated with relevant information.
The Secretary receives and answers online enquiries about choir. Other tasks incude preparing and distributing the agenda for Committee meetings and taking and writing the minute of these meetings.
The Secretary can act as a link between Conductor and Members.
The Treasurer is in charge of the organisation's bank account, monitoring income from subscriptions,donations, ticket sales and other sundries. The Treasurer is also responsible for choir expediture paying for venues, music hire, soloists and the fees for the Music Director, Assistant Conductor and Accompanist. Other expenditure incurred may be from printing costs and other outgoings. Most of this work is done online.
The Treasurer also prepares a statement for committee meetings and keeps account of all transactions enabling her/him to submit the choir's accounts to an Independent Assessor for audit in April.
Rehearsals On the night of the rehearsal the Choir Manager sets out the chairs, piano and conductor's position for the rehearsal. There is usually help available. At the end of the rehearsal the Choir Manager ensures that the hall is left as it was found and locks up. This is usually complete by 9.45 at the latest. In the event that the Choir Manager cannot make a rehearsal it is incumbent on them to make arrangements for another choir member to take on the role in his/her absence. The Choir Manager is responsible for preparation of the stage, including seating for the choir, soloists and musicians plus arranging the conductor's podium and Choral Union banner. He/she should also ensure that the stage lighting is adequate. This is usually done in concert with a member of the Town Hall staff. He/she should also check that the side rooms used for the choir and orchestra before the concert are cleared. Concerts in the Town Hall require the Choir Manager to arrive at least an hour before the rehearsal and other choir members need to be drafted in to help as there can be some fairly heavy lifting, particularly if stage tiers need to be set up. On the evening of the concert the Choir Manager is responsible for ensuring that the choir enters the stage in an orderly fashion at the appropriate time.
The Concert Administrator has the job of booking the Town Hall for concerts and liaising with Town Hall staff regarding staging, risers and lighting..
Other tasks include booking the orchestra and soloists and ensuring that biographies are available for publicity purposes.
The Publicity Co-ordinator manages the concert publicity calendar and sets the date for publicity launches arranging for the printing of concert publicity posters ahead of the launch date.She/he heads a team which manages poster distribution points and social media. The publicity co-ordinator also sends concert details to the Ayr Arts Guild diary for inclusion in its online calendar of events.
Ayr Guitar is a ticket outlet with which the co-ordinator also liaises.
Another aspect of the role is to try and find new outlets for publicity purposes.
